    Any tips on how to encourage a lot owner to keep up to date by reading his email. A lot owner has become very difficult to communicate with via text, email, and phone. I'm spoiled I guess because he's the only problem. I will have to use certified mail going forward but would appreciate anyone's experience to avoid that workload.

    Do you have the unresponsive owner's written permission to receive email communications from the road association. If you do, I would keep on record hard copies of the email notifications, results of voting, etc., you send.

    If you have not received written permission then, yes, send notifications by certified U S mail. We also have one owner who requires U S mail communication. Certification is not required but being sent to the current address listed at the Town assessor's office is required.

    Thank you very much for your reply. Very helpful. Could you elaborate on your system of getting permission from the lot owner on using email. We have no formality of any kind. Everyone uses email,texting, or phone likes it's 'a given'.. Thanks again.

    Yes. Thank you. On our Resources Page you will find, under Samples, a "Consent to receive email notices and materials" form. It also asks for owners' preferred email address.

    We passed out copies of this form at our initial meeting for all to sign. When new owners arrive, this form is part of their "welcome" packet. We explain that this is a requirement for our statutory road association, see ยง3101(3), and all but one have agreed to sign it.

    Not really answering your question specifically but on the general issue of communicating with members.......we have a rather informal association, not statuary just non-profit.  We use email almost exclusively with pretty good results.  I have also started a private Facebook page for our association that admittedly does not reach everyone but remains pretty popular.  We don't use FB for anything official but its good for sharing info and photos.
